Description

Job Purpose or Objective(s): Assist the Sr. Director of Operations in maintaining an efficient operational environment for the Communications Department by managing office activities, assisting or leading operational projects, and supporting the functional business units of the department.

Primary Tasks
Serve as the main purchasing agent and accounting liaison for Communications Department: process travel vouchers, purchase requisitions, key direct payments, and resolve problems with purchasing processes, including returns, substitutions and expedited orders.
Maintain departmental SharePoint site.
Manage office supply and equipment inventory, including expense control.
Oversee department vehicle maintenance and inter-department reservations, optimal fleet utilization.
Develop department process and policy; maintain strong functional knowledge of CNO and department processes and policies to provide guidance to staff to ensure adherence.
Research process, policy, cost estimates and timelines for projects and provide reports to department leaders.
Maintain records, documentation, and files in an organized system.
Provide backup administrative support to all functional units as needed (office coverage, phones, meeting minutes, Labor Day assistance).
Other duties as may be assigned.

Required Education, Skills And Experience

MINIMUM
Associate's degree and/or certification in administrative skills
Proven oral and written communication skills, as well as strong computer proficiency in Microsoft Office Suite and Adobe
Good understanding of project management and planning
Detail oriented, highly organized, self-initiating, and trustworthy with the ability to perform duties and follow-up professionally, able to prioritize tasks in priority order
Ability to maintain strict confidentiality
Experience using file sharing services
Three years' progressive and comprehensive administrative support including procurement

TARGET
Bachelor's degree preferred
Proven oral and written communication skills, as well as strong computer proficiency in Microsoft Office Suite and Adobe
Good understanding of project management and planning
